Information about roles of the Solis-id
When engaging with Utrecht University you get access to IT facilities. Which IT facilities you have access to depends on the roles assigned to your Solis-id. Please note: After you have received the e-mail from us about a new role or UU e-mail address, it may take up to one working day before you can use it.
Email about a role
Have you received an email about a changed role? Or are you leaving the university (soon)? Please find more information below.
These could be:
- A role has been added: you have granted access to additional IT facilities (such as a particular application or service);
- A role has been removed: access to specific IT facilities have been removed.
A role change is never simply added or removed. This usually depends on your (changed) function, an expiring period, or something your supervisor has passed on.
When a role is removed, it does not automatically mean that your Solis-id no longer works. Adding or removing a role often involves specific access to services. You can read what the addition or deletion of a role means for you below at the role description.
After termination of your employment or studies, your Solis-id expires. You will then no longer have access to UU IT services and associated data. Please consider the following before your Solis-id expires:
- Secure personal data. Consider emails or data stored on your U drive, OneDrive, or SURFdrive. Also don't forget any mobile (UU) phone or tablet with photos or videos. Sometimes the UU OneDrive is also linked to a mobile phone or tablet: this data will soon be unavailable too.
- Check that your private e-mail address known to us is correct. This is useful if contact is needed later. Students can change this in OSIRIS (or read the manual) and Studielink, and staff via the 'contact details' tile at https://mijn.uu.nl.

When do I gain/lose access to my Solis-id?
- Your Solis-id will become active 5 days prior to your hiring day
- After your resign date, you still have some time to use IT services. During that time you may back-up your data (such as your mail, U-drive, OneDrive, SURFdrive, etc.). After this period, access to the data is no longer possible and the data will be deleted. Note that some devices such as phones automatically sync with these services once you have set that up once. Any locally synchronized data on that device with UU data will no longer be accessible as well.
What can I do with this role?
- Login to computers and laptops for employees.
- Connect to Wi-Fi on UU campus.
- Use Microsoft 365 (Word, Outlook, Teams, OneDrive, etc.) on UU workstations including the ability to install the Office package on up to five private devices.
- Access to intranet.uu.nl and your own profile page.
- Login to campuscard.uu.nl to request, activate, and block your CampusCard. You use this card to quickly log on to Multifunctionals (printers).
- Log on to uu.topdesk.net to report and request various UU services.
- You get a U-disk for storing personal data.
- Access to the O-drive for storing documents you share with colleagues. Access to folders on the O-drive is managed by your department's QDS administrator.
- Making use of the UU's printing facilities.
- Access to uu.nl/osirisdocent or uu.nl/osirisadmin, depending on your position.
- Access to uu.blackboard.com.
- Access to University Library resources. Visit www.uu.nl/universiteitsbibliotheek for more information.

When will I gain/lose access to this Solis-id with limited rights?
- The Solis-id for the candidate employee is provided after it has been verbally agreed that you will come to work for UU.
- The role of candidate employee changes into an employee role (for example WP, OBP or PhD students) after the administrative process has been completed. See the relevant role for when the new role becomes active.
What can I do with this role?
- Checking and supplementing data that are necessary for the personnel administration, prior to working for the UU.
