Frequently asked questions about study spaces
Yes, during exam periods it is mandatory to book a study space in the University Library. Only UU students and staff can book study spaces. A study space can be booked two days in advance.
Outside exam periods the study spaces are divided into openly available spaces and spaces that need to be booked. The openly available spaces are indicated by green stickers on the tables with the text “ Study space, openly available” and are available to all visitors of the University Library. In the University Library City Centre these spaces can be found in the B, C, D and E zones. In University Library Utrecht Science Park you will find them on the ground floor, the mezzanine, and the first and second floor.
Bookable spaces are indicated by red stickers with the text: “ Study space, reservations only”. These spaces can only be booked by UU staff and students and can be booked two days in advance. Upon arrival you check in via the QR codes on the stickers. If you have not checked in within the first half hour of your booked time, your reservation will expire. If you leave earlier than planned, please check out so that the space can be used by others.
Follow these steps:
- Go to bookings.uu.nl.
- Select the category.
- Select the type of space.
- Optional: select a zone.
- Select a date: you can book a space two days in advance.
- Select start time and end time.
- Optional: click on one of the filters.
- Click on Search. A list with a maximum of forty best options appears.
- Select a study space and click on Book now.
- Accept the General Conditions. You can view the conditions via a link.
- Click on Submit my Booking to finish your reservation.
- Confirmation: you receive a confirmation mail with a unique check-in code. If you do not receive the email, check your spam folder or contact the library.
Do not forget to check in and out.
Check in within the first half hour of your session, otherwise your booking will be automatically cancelled. If you leave earlier than planned, check out so that a fellow student can take your place.
Ask that person to leave. You can always ask library staff to help you. Please, don’t occupy another space, as it may be booked by someone else later that day.
Go to the service desk. Library staff can check you in on presentation of your student card or campus card.
If you do not check in within half an hour of your booked time, the reservation will be automatically cancelled. You could try to make a new reservation. You can cancel the booking yourself till the start of your booking. Use the link in the confirmation mail.
UU staff and students can book group study rooms to work together. The rooms are indicated by the yellow stickers with the text: “ Group space, reservations only”. One group member books the room and checks in. If you have not arrived within half an hour of the booked time, the room is available for others. Leaving earlier than planned? Check out, so the room becomes available again. The rooms can be booked two days in advance for a minimum of two hours and a maximum of four hours.
If you have not received a confirmation mail within fifteen minutes of finishing the registration, check your spam folder first. No email? Please contact the library to have your booking checked. The study spaces are divided into six zones. You can find the locations and the arrangement of the zones on the floor plans.
Follow these steps:
- Click on the tab Search by Space.
- Enter the number of your study space, be mindful of capital letters and dots between numbers.
- Select the type of space.
- Select the category.
- Select the zone.
- Click on 'Search'.
- Select the study place and click on Show availability
- Select date, start time and end time in the menu.
- Click on Submit times.
- Accept the General Conditions by checking the box (click on the link to view them).
- Click on Submit my booking to complete the booking.
- You will receive a confirmation mail with a unique check-in code. If you do not see the mail, check your spam folder or contact the library.
