Annual PhD progress meetings
As a PhD student, you are responsible for organizing your annual PhD progress meeting!
The annual PhD progress meeting is held between PhD candidate and the their Thesis Advisory committee (TAC). The meetings are intended to monitor the progress of the project (rate, direction, quality, support) and supervision, discuss personal and scientific development (accomplishments, competences and skills) and future career plans of the PhD candidate, and, if necessary, adjust the Individual Training Plan. Setup for annual meetings in the MLS program / Bijvoet Centre:
- The annual PhD progress meeting will take place with the two supervisors (each PhD candidate should have two supervisor) AND the independent advisor/mentor. This is compulsory.
- The PhD candidate will prepare an annual progress report following the format of the graduate school (see link above). In this document the candidate gives a short introduction/summary of the project aimed for the mentor who will typically not be very up to date about the project.
- During the meeting, the mentor will have a separate meeting with the candidate (i.e. no supervisor present), and also a meeting with the supervisors (i.e. without the PhD candidate). This offers the possibility to express concerns, raise potential issues in a more confidential manner. After those separate meetings a wrap up session takes place with everyone present and were recommendations / plans for the next period are defined.
This is all taking place within the same progress meeting. A possible time schedule for such a meeting could be: 10 minutes presentation / summary of work by the candidate (possibly presenting a few slides), 20 minutes general discussion based on the report, 10 minutes discussion PhD candidate with mentor, 10 minutes discussion supervisors with independent advisor, 10 minutes final wrap up - recommendations, follow up actions, …
- Part 5 of the Annual Progress Report is completed based on the discussions at the meeting. Importantly, when entering the last year, the report should include a plan to complete the thesis.
- The completed, agreed, and signed Annual Progress Report is upload instead of the normal HR A&D form by the supervisor. The completed Annual Progress Report is also mailed to science.bijvoet@uu.nl. This is compulsory.
