Job description

Do you have the organisational skills to ensure that processes are running smoothly? Are you a gifted multitasker, do you have a service oriented mentality and do you appreciate variety in your (administrative) work? Are you able to express yourself well in both Dutch and English and are you keen to make a long-term commitment to a team? Then the Student Information Desk Team at the Economics Department (Utrecht University School of Economics of the Faculty of Law, Economics and Governance) is looking for someone like you.

The Student Information Desk at the Utrecht University School of Economics (U.S.E.) is looking to strengthen its team. The Student Information Desk caters to our (inter)national students and acts as an intermediary between students and the organisation. You will perform both front-office tasks (working at the Student Information Desk’s counter) and administrative back-office tasks. In this position you mainly work in the office.

Students contact the Student Information Desk before, during and after their studies with all kinds of questions. As a member of the Student Information Desk team, your job is to answer these queries and ensure all data is processed correctly from an administrative point of view. Almost all communication with lecturers and students is in English. You will work in a team of five and perform a combination of the following tasks, any of which may be part of your job description:

  • answer emails from students and lecturers;
  • manage and register student data, process grades and record decisions in Osiris, the student progress system;
  • carry out desk and phone duties (once a week on average); you will be the first point of contact for students. As such, you will provide information about education, registration, prior learning, financial aid, student services and graduation, sign documents and, if necessary, refer students to the appropriate resources;
  • process enrolments and the accompanying registrations for Master’s programmes;
  • register incoming and outgoing exchange students, freemovers and contract students;
  • organise matching and introduction activities;
  • maintain the English-language U.S.E. website for students.

Qualifications

You are an enthusiastic and committed colleague Someone who can multitask and make sure processes run smoothly. You are eager to learn and carry out your duties meticulously. You see how your activities are connected and take immediate action the minute matters come to your attention. New systems or processes are easily mastered, and effective administration is in your DNA. You enjoy coordinating with colleagues and developing initiatives together, but you are equally at ease working independently. Good speaking and writing skills in both Dutch and English are important requirements, while experience with Microsoft Office is a given and knowledge of Osiris is an advantage. We are looking for someone who is willing to commit to the Student Information Desk for the long term.

Testimonial from a Student Information Desk employee:
‘Working at the Student Information Desk at the Department of Economics is something I really enjoy. I have a host of different activities, which makes the work varied and challenging. Performing both administrative back-office tasks and interacting with students and lecturers is an ideal combination for me. As the various tasks at the Student Information Desk are often related, a seemingly simple question can turn out to be quite complicated. In my opinion, it is fun and challenging to have to take policies and regulations into account to answer these questions. In addition to the work, I enjoy interacting with my colleagues at the Student Information Desk and at Educational and Student Affairs. We regularly drop by each other’s offices and show an interest in each other’s work.’
