Registration for new PhD candidates
Are you a new PhD candidate? Then register in MyPhD as soon as possible, no later than three months after the start of your program. You also need a Training and Supervision Agreement (or Opleiding- en Begeleidingsplan). You will prepare this together with your supervisor.
It is helpful to have the following information on hand when registering in MyPhD:
- A copy of the most relevant diploma. Questions about the validity of (foreign) degrees? If so, please contact your Graduate School.
- Information about the most relevant degree: MyPhD asks for name of institution, name of programme, type of degree, date of degree.
- A copy of a valid identification document. This copy is used only for the proper recording of the name, date and place of birth and not to verify the identity of the person. If desired, the citizen service number (BSN) may be rendered illegible in the copy. Rijksoverheid.nl describes in Dutch how to securely copy a credential. Once the registration is approved, the copy of the passport is removed.
- MyPhD also asks for a working title of the dissertation. This can always be changed at a later stage.
- The details of (co-)supervisor(s). Fill in the data of (co-)promoters who are not employed by Utrecht University or UMC Utrecht as completely as possible: full name, initials, title, name of institute, address of institute, e-mail. The data of the (co-)promoter(s) who work at Utrecht University can be found in a help list in MyPhD. Please check whether you choose the correct working relation.

- Faculties themselves still request specific information and documents when registering. For questions about this, contact the faculty contact (pdf) of the faculty of your first supervisor.
- Missing information or signatures may affect waiver and/or admission to the doctoral program.

The Training and Supervision Agreement outlines rights and obligations of the PhD candidate and the objectives of the research project. In most Graduate Schools, it also outlines an individual plan of study that must be formally approved. In MyPhD, approval is recorded digitally. Some faculty have chosen to keep the Training and Supervision Agreement (TSA) separate from the MyPhD system. Check with your Graduate School about how to arrange your TSA.
The appointment of the supervisor(s) must take place before the professor in question has retired or received an honorable discharge.
As (co)supervisor, ensure that the PhD candidate registers in MyPhD. Once the PhD student has forwarded the digital registration for review and approval, deal with the email sent from MyPhD requesting approval as soon as possible.

The registration in MyPhD is fully digital and can be forwarded for review and approval by the faculty contact person, all (co-)promoters involved, the department head (if applicable), the dean and the Doctoral Degree Board at the push of a button.
The deans have placed the responsibility for the training and supervision of PhD candidates with the Graduate Schools. The Graduate Schools are responsible for the general admission requirements for the PhD program, education and training of PhD students, supervision and quality assurance of the PhD program.

Registration in MyPhD is fully digital and can be forwarded for review and approval by the PhD Office, all involved (co-)promoters, the department head, the dean and the Office of the Board of Promotions at the touch of a button.
Register in MyPhD
