All rules and necessary documents concerning the doctorate can be found on the website for international staff of Utrecht University. These include, among others, the Doctoral Degree Regulations Utrecht University (Promotiereglement), and the time schedules for both PhD candidates and supervisors.
REGISTRATION OF PHD CANDIDATES AT UTRECHT UNIVERSITY
In order to be able to obtain a doctoral degree at Utrecht University or the UMC Utrecht, PhD candidates need to register in the Hora Est database using ’Form 1: Request for Exemption and Admission to Doctoral Studies’. The printed version of this form (the original version) must be send to the secretary of the Dean of the faculty of affiliation, including all signatures, a copy of the passport and a copy of relevant diplomas. Foreign students sometimes have to fill out some more documents; this procedure is clarified at the Hora Est-website. This printed original version has to be signed by the PhD candidate and all its supervisors (max: 2 supervisors). More details can be found at the Hora Est-website. For Hora Est, a login is required. The first login is accessible for everyone, after registration, you get a personal login.
REGISTRATION OF PHD CANDIDATES WITHIN A PHD PROGRAMME OF THE GRADUATE SCHOOL OF LIFE SCIENCES
In order to gain access to training and education provided by the Graduate School of Life Sciences, PhD candidates need to be admitted to one of the School's PhD programmes.
In consultation with their (daily) supervisor PhD candidates select a PhD programme that fits their research project or interest. The coordinator of that specific PhD programme will provide them with the information they need to register and guide them through all their requirements during the next years. Within three months after appointment, a Training and Supervision Agreement (TSA) needs to be filled out.
This TSA specifies the rights and duties of the PhD candidate and his/ her supervisors with respect to education and supervision during the 4-year program. The TSA must be signed by the PhD candidate, the supervisors and the chairman of the PhD programme. The original TSA is kept by the programme coordinator. A copy is sent to the secretary of the dean for central administration.
