Who can view the images?
The images will be viewed at a later time, and a Proctor Exam examiner can determine whether the test was taken legitimately. In other words, the student's images will not be viewed live. After 48 hours ProctorExam will have reviewed the images.
Only authorised ProctorExam employees have access to the images to review them. The UU examinor of the course will only have access to the images if the ProctorExam staff detects something suspicious.
The images will be removed if they do not cause to suspicion of fraud and the grade has been definitively established. Also the test chat data will be deleted.
How are the images evaluated?
ProctorExam uses human reviewers and algorithms. It does not use biometric data for identification, but people. Algorithms are only used to detect how stable the internet connection is.
The ProctorExam reviewers first validate the identity of the candidate, and are present to support the set-up of the test before students start the test. Afterwards, the reviewers check the stored images for irregularities. Irregularities in this case concern prohibited actions that the lecturer communicated to the students prior to the test. Examples: not going to the toilet, no other people in the room, looking away from the laptop several times, using external material, etcetera.
Who's allowed to see the footage?
Data is only accessible to employees who need insight into the data in order to perform their task.
- The employees of ProctorExam.
- In case of suspicion of fraud: the examinator
- If fraud is established: the Examination Board.
So, other teachers, other employees, or others do not have access to the data. This is in connection with the student's privacy.
What is the retention period of the images?
The data, including the chat, will be deleted when the grade has been established and all objection procedures/discussions (for reasons of content or possible suspicion of fraud) have been completed.
