ILL account to request books and photocopies of articles
Dutch libraries
With an ILL account (Interlibrary Loan account) you can search the Dutch national catalogue via Picarta and request books and journal articles from all Dutch libraries. Making requests is not free of charge.
Foreign libraries
If you want to request books and copies from foreign libraries, please fill in the forms: Request book or journal(article) from abroad. You need a valid Utrecht University student card or library card in order to request items. Dependent on your choice, the money will either be withdrawn from your ILL account or you will receive an invoice. Please check our price list for the rates.
Utrecht University Library
Books and electronic journal articles from the Utrecht University Library collection can be requested free of charge using the catalogue or Omega. However, you can use your ILL account to request photocopies of print articles from the Utrecht University collection.
How does it work?
Opening/crediting an ILL account
You need a valid Utrecht University student card or library card.
- Utrecht University staff:
You fill in the application form on our website. The WBS-number of your faculty/department/unit and a signature from the budget holder are required.
- Students and other library users:
Go to the library. At the desk you can credit your account and pay immediately by pin or chip. You cannot pay in cash.
Or fill in the application form on the website. Please give your name, address, library card number or student card number and the amount of money you wish to deposit. The bill will be sent to you.
You will get an account number and a password. You need these data to search and request ILL material.
Requesting publications
You can make your requests from your place of work or home address via Picarta: a database of titles from the Dutch Central Catalogue (containing the collections of over 400 libraries) and Online Contents (containing over 17,000 journals, indexed by article title).
- Go to Picarta via the Utrecht University Library website.
- Search for the publication.
- If you have selected a title, a full presentation of the title will appear on your screen. In the left hand menu you can choose Borrow or Photocopy.
- Enter your account number and password and click on send.
If you want to request photocopies:
- Fill in year and volume number of the journal and click on continue.
- Fill in details of the article, such as author, title and the numbers of the pages.
- Delivery options: you can choose between normal service and fast service (which is more expensive) and between e-mail or post. Delivery by e-mail (electronic copies in PDF format) falls under normal service. If you have changed the delivery option, click on update.
- List of candidate suppliers: as a rule, the boxes in front of all the supplying libraries are ticked. You can give preference to certain libraries by removing the ticks from the boxes of the other libraries.
Collecting your books
- Books must be picked up at the library where you have opened your ILL account.
- Books can only be renewed twice
- The supplying library may recall the book during the second 28 days loan period
Your copies
- Print copies will be sent by post to the address registered in your ILL account
- Electronic copies will be sent to the e-mail address registered in your ILL account
The rates
- Standard rates can be found on our price list.
- After having entered your request, the money will be deducted from the funds in your account.
- If the actual costs should be higher, for instance if more books or photocopies are delivered than paid for in advance, these costs will be deducted afterwards.
- If a request cannot be met, the amount of money already deducted will be automatically refunded.
Do you want to check or change your details?
- In Picarta, go to My profile in the toolbar at the top of the page.
- Log in with your account number and password.
- Click on send. Now you can check the funds in your account (deposit), get an overview of your ILL requests and change your details.
Do you wish to receive alerts to new journal issues?
Via Picarta you can subscribe to the tables of contents of the journals you selected. When a new issue is published, you wil receive an e-mail containing the table of contents.
- Look up the journal,
- Select sdi in the top right-hand corner,
- Fill in the required details and click on send.
