Procedure

Writing an EU subsidy application is a very time-consuming procedure. If you are the coordinator, then you will have to plan for a significant investment of time, but also if the UU is a partner in a project, then the procedure will have to be initiated long in advance. If the UU is the coordinator

12 weeks before the deadline:

  • Inform the Department Head and the Research Director of your intention to submit an EU application.
  • Contact the EU Liaison Office to ask about the correct procedures to be followed.
  • As coordinator, draw up a draft budget for the entire project. The EULO can assist you in this task. 

4 weeks before the deadline:

  • Submit the final draft budget to the EULO.
  • The EULO will ensure that a risk analysis is done for the matching requirement and cost coverage. It then sends the budget and analysis to the F&C Director. Within two working days he or she will provide a recommendation for the Dean’s approval.
  • If the F&C Director’s recommendation is positive, then the EULO will have the Dean sign the budget and/or letter of intent.
  • If the UU portion of the project is greater than two million Euros, then the Executive Board must approve the project. This procedure takes approximately seven working days.

5 days before the deadline:

  • Submit all relevant information for the proposal to the EULO.
  • The EULO will ensure that the proper procedure is followed in submitting the proposal to the European Commission.

If the UU is a partner

10 weeks before the deadline:

  • Together with the coordinator, you must provide the EULO with information for drawing up a draft budget.
  • The EULO then draws up a draft budget and performs a feasibility check.

3 weeks before the deadline:

  • Turn in the definitive draft budget to the EULO.
  • The EULO will ensure that a risk analysis is done for the matching requirement and cost coverage. It then sends the budget and analysis to the F&C Director. Within two working days he or she will provide a recommendation for the Dean’s approval.
  • If the F&C Director’s recommendation is positive, then the EULO will have the Dean sign the budget and/or letter of intent. 
  • If the UU’s portion of the project is greater than two million Euros, then the Executive Board must approve the project. This procedure takes approximately seven working days.

5 days before the deadline:

  • Provide the coordinator with all of the relevant information for submitting the proposal.
