UU Gmail

Utrecht University offers all students a Gmail account. As a new student, you will receive an email with your personal data at your private email account.
Your university email address, which also is your Gmail account, is a combination of your name (initials and last name) with the addition:@students.uu.nl. This email address has 25GB of storage capacity.

Log in to your UU Gmail account on http://gmail.students.uu.nl (please note: without www).

How do I log on to UU Gmail?
Log in to your UU Gmail account on http://gmail.students.uu.nl (please note: without www). Log-in is based on your UU Gmail username (your email address without '@students.uu.nl', for example 'j.jansen') which you have received at your private email address. You have received a password in a separate email to your private email address. 
Please note: the password is not the same one as the Solis password of your Solis ID. See the next question and answer. 

How do I change my password for UU Gmail?
You receive one password for both your Solis ID and Gmail account in a separate email to your private email address. We urge you to change this password for the two accounts as quickly as possible into a safe password of your choice. If you change your Solis password, the UU Gmail password will not automatically change too. You can change the password of your Solis ID yourself. You can only change your UU Gmail password within UU Gmail, under Account settings (in the drop-down menu underneath your username).

I forgot my UU Gmail password. What should I do
Please note: the password is not the same one as the Solis password of your Solis ID. If you change your Solis password, the UU Gmail password will not automatically change along. You can only change your UU Gmail password within UU Gmail.

If you have forgotten this password, you can no longer log in to UU Gmail. The following is stated on the UU Gmail log in screen: "Do you no longer have access to your account?" Click this link and a new screen will pop up. The screen shows a web address uugmailpasswordreset.uu.nl. Go to the site and log in with your Solis ID and password. You can now change your password (reset). Fill in your new password twice and click 'reset password'. A password consists of at least 8 characters. Your password is now changed. After this step, you will automatically go back to the log in screen of UU Gmail and you can log in with your new password.

If resetting your password does not work, please request help from ICT Services through the Self Service Desk. The Service Desk will not be able to contact you via email, because you cannot log in to your UU Gmail account. Please provide a mobile phone number or a private email address where you can be reached. You need your Solis ID and password to log in to the Self-Service Desk.

I cannot log on to UU Gmail. What do I have to do?
Check your log-in screen: gmail.students.uu.nl (please note: without www). Have you entered the correct password? (see previous question for information about changing your password and applying for a new password).
Please also check if you can log in from another computer (preferably one at the university). If you still cannot log in and you have a valid UU Gmail ID and password, please report the problem through the Self-Service Desk, stating your UU Gmail ID.

Can you log in to UU Gmail from another pc? Then you might have to change your home computer's settings.
How do you do that?

•        Delete all cookies (extra > internet options > delete cookies).
•        Set internet security to standard (extra > internet options > security).
•        Remove your firewall. Please note that some firewalls (zone alarm, for instance) will still run in the background, even if you have turned them off.

For how long can I still make use of my UU Gmail and Solis ID after deregistering from Utrecht University?
You can still make use of your Solis mail and UU Gmail up to 6 months after your graduation date.

What can I do when my UU Gmail mailbox is full?
You have 25GB of email capacity in UU Gmail. Normally, that is enough. If your mailbox is full, the only way you can send and receive email again is by deleting old email messages. Old email messages are not only in your 'Inbox', but also in 'drafts', 'sent items' and ‘deleted items’ and so on. Click on 'Folders' in the top left hand corner to view and delete all folders.

Have you recently started a second job at Utrecht University? You will also have received an employee account. Your Solis ID has not changed, but you did receive an extra email address (#name#@uu.nl). Your employee account is the primary account, so all emails are automatically sent to your Solis mail and no longer to your UU Gmail address.
Is there no general breakdown or have you not started a second job? Please report the problem through the Self-Service Desk. Please clearly state your Solis ID and your problem.

I study and work at Utrecht University...
Since you are now both a UU employee and a UU student, your Solis mail will be your main email address. This means that the redirect function to your UU Gmail address no longer works, effectively redirecting all your emails to your Solis mailbox.
a. How do I make sure that my emails are sent to my Gmail account?
Go to the Solis-ugids (in Dutch only) » personal information » log in » student number and password » "Eigen gegevens". The following has to be entered under "forwarding email address": your Gmail username (see log in to Gmail) with the addition “@galias.students.uu.nl”.

b. How do I see from which email address I have sent an email?
Once you have set up a forwarding email address, you can select the email address from which you will send your messages. Your 'students.uu.nl' email address is selected as the standard email address in Gmail. You can add your employee email address as follows:
Account settings » Accounts » Add another email address of which you are the owner.
Fill in your employee email account: #name#@uu.nl. Click on the lick in the confirmation email. The address has now been added. You now have the option of selecting from which email address each emailhas been sent.

c. How do I save my emails in Solis mail when my account is closed?
You can forward each message to your Gmail address, or you can forward all your emails in one go with the Google Apps Migration tool.

What can I do to stop receiving unwanted email messages (spam) in my UU Gmail box?
You can reduce the annoyance of unwanted email messages in two ways: 

  1. With the help of the spam filter in UU Gmail. There are standard criteria for flagging email messages as spam or possible spam. These messages are sent to the 'Spam' folder. You can flag email messages that get past Google's spam filter and end up in your 'Inbox' by clicking the 'Report as spam' button. You will no longer see the message in your 'Inbox', but these messages are saved in your 'Spam' folder for thirty days.

2.       By limiting the use of 'out-of-office' replies.
 
How can I use UU Gmail through IMAP?
Gmail is the recommended way of reading UU Gmail. If you want to use an IMAP client, please go the Google website, where you can find the information you need for your email programme settings. Utrecht University does not support installation problems.

Is UU Gmail available in English or another language?
Yes, UU Gmail is available in 42 languages. You can change the language by selecting 'Account settings' in the top right hand corner and selecting another language. UU Gmail also has a handy feature with which emails can be translated. Go to the 'Labs' tab and enable the option 'Message translation'.
