Each year, you and your supervisor will undertake at least one Assessment and Development interview (A&D interview). The initiative for this interview lies with your supervisor, but can also be taken by yourself.
The interview allows you to reflect on your performance and your supervisor to assess your work. You will also discuss and agree on your duties and targets during the coming year and on any steps to be taken towards your further development. The agreements will constitute your individual work plan for the coming period and serve as the basis of your next Assessment and Development interview.
It is important that you and your supervisor adequately prepare for the interview: a sound preparation enhances the reciprocal perspective of the interview. For this reason, you will be asked to write a reflective report prior to the interview. A special form has been developed to aid you in writing the report. The report will contain a refection on your performance as well as your impression of the past year. You will also be asked to indicate in what ways you wish to further develop your capacities. The (electronic) reflective report shall be sent to your supervisor at least one week before the interview. The reflective report will form part of the A&D report.
The A&D interview will call particular attention to the assessment made by your supervisor as is also stated in the report form. As an employee, you are entitled to be informed of your supervisor’s assessment of your performance. Your supervisor shall clearly motivate the assessment, and indicate any areas of potential improvement and / or development.
The Assessment and Development interview can be the basis of agreements regarding a promotion or a change in appointment from a definite to an indefinite period of time. It can also lead to a negative decision on your legal position, e.g. that you are not eligible for a salary increment.
In the report form, your supervisor shall write down both the assessment and any agreements made during the interview. You will be provided with this report in order to comment on the way the agreements regarding your performance and development have ben formulated. You may then sign ‘in acceptance’ of the assessment and ‘in approval’ of the agreements made for the coming period. After having been signed, the A&D report and the reflective report will remain kept in the personnel file.
In the event that you should not agree with the assessment, you may lodge an objection to the assessment part of the A&D report. You must first submit your objections with the (sub) mandatory and send a copy of the objections to your supervisor. Following this, the (sub) mandatory will inform you in writing about the final decision on the formulation of the assessment. You then have the option to lodge an objection to the assessment itself as laid down in the report. For further information about the procedure, please check the appendix.

All supervisors at Utrecht University (both academic and support and administrative staff) will be offered training in conducting Assessment and Development interviews. Further information will follow shortly.
